Collect proxy forms and ballots from homeowners with the HOAM mobile app.

With annual meetings up ahead for HOA communities, the developers of HOAM, Alpine Media Technology, have launched a new feature to help property managers and HOA boards to easily collect proxy forms and ballots. To ensure a quorum for a meeting is met, enough votes must be presented. In the case a quorum is not achieved, meetings will need to be canceled and rescheduled for a later date which can result in a substantial cost to the HOA.

A quorum is the minimum number of people who must be present to pass a law, make a judgment, or conduct business. The purpose of a quorum rule is to give decisions made by a quorum enough authority to allow binding action to be conducted.


HOAM now makes it easier for homeowners to quickly and effectively access and complete the proxy form straight from the HOAM mobile app. No mail is required. No emails which could possibly be filtered to junk mail or even blocked. With a couple clicks and a little data entry homeowners and residents have the ability to make their vote count. Upon submission both the management company and the homeowner receives a receipt verification. 


Management companies can also use HOAM’s push notification feature to send reminders to fill out these forms and notifications once the forms are made available and accessible within the app. 


The Highlands at Piney Creek HOA in Centennial Colorado, a client of HOAM, is already underway with this use of this feature. They achieved 62 proxies within 10 days. A minimum of 52 owners to attend or send proxies is the minimum. 

“Last year we had quorum a day before the deadline, not a week and half. I would say this was faster than normal,” said Kyle Maring, business manager of the West Wind Management group which oversees Highlands at Piney Creek and 81 additional communities.
